Overview:
The Geriatric Education Series brings together healthcare professionals from diverse fields to learn and collaborate. Each session combines a didactic presentation with a case study discussion. Participants join breakout rooms of 8–10 people grouped by role and organization, encouraging cross-disciplinary dialogue. Two facilitators guide each group, fostering engagement and shared learning.
My Contributions:
I was responsible for making sure every part of the event came together smoothly — before, during, and after.
1. Pre-Event
- Designed and distributed promotional materials via email and social media
- Managed registration, including payments, receipts, and certificates
- Coordinated invitations, speaker confirmations, facilitator recruitment, and session scheduling
- Created facilitator schedules based on availability and topic interests
- Organized participant breakout rooms to ensure diverse and balanced groups
- Rotated facilitators through all breakout rooms to ensure participants get a chance to engage with all of them
- Prepared and sent participant packages with slides, case studies, worksheets, and supplementary materials a month before the series
- Developed comprehensive facilitator packages including guides, notes, tips, and additional resources
- Produced a video training module for new facilitators by including planning, scripting, filming, and editing
- Developed “run of show” documents for day 1 and day 2, moderator notes, and speaker slide decks
- Trained speakers and facilitators on Zoom features to enhance engagement
2. Event Day
- Coordinated with facilitators to maintain schedule and speaker flow
- Managed event logistics for virtual and in-person formats, troubleshooting issues live
3. Post-Event
- Sent personalized thank-you notes and completed final event wrap-up
- Collected and analyzed evaluation data to assess impact and gather feedback
- Created an evaluation summary and presented findings to the team for informed decision making and continuous improvement of the program.
Outcome / Impact:
The sessions ran smoothly and received great feedback from participants. The event helped strengthen professional learning across the region and made space for more collaborative conversations in geriatric care.
